First Lutheran Church Office Administrator Needed

First Lutheran Church is seeking a qualified and experienced office administrator. 


Summary: The Office Administrator is the central hub for First Lutheran Church,

ensuring smooth operations, effective communication, and well-maintained facilities.

This role requires a detail-oriented individual with strong organizational and

interpersonal skills, capable of handling diverse responsibilities while upholding the

church's mission and values.


Essential Duties and Responsibilities

Financial Administration:

  1. Adhere to accounting procedures and collaborate with volunteer counters for weekly offerings and deposits, ensuring accurate data entry and reconciliation across systems.
  2. Process payments, maintain financial records, and reconcile accounts weekly, ensuring accuracy and completeness of documentation and database.
  3. Manage payroll, coordinating with the CPA for timely processing.
  4. Prepare monthly financial reports for the Finance Committee and organize financial documents for audits.
  5. Manage tax document preparation and distribution.
  6. Contribute to annual budget development and monitor adherence to ministry budgets.
  7. Submit required financial reports to the ELCA and Synod.


Office Management:

  1. Prepare and distribute weekly bulletins, children's handouts, and prayer lists.
  2. Manage Sunday flower arrangements.
  3. Maintain effective communication systems, including phone, email, and mail.
  4. Oversee the church's outdoor sign.
  5. Manage office supplies and inventory.
  6. Maintain membership records and publish the annual church directory.
  7. Ensure up-to-date calendars and maintain a comprehensive procedure manual.


Building and Property Management:

  1. Coordinate building usage with partners and maintain strong relationships.
  2. Manage building security.
  3. Manage room setups and the church's opening and closing procedures.
  4. Support property maintenance, coordinating with the Property Team and custodian.
  5. Maintain records for building, property, and equipment.
  6. Monitor parking lot usage and collect fees.
  7. Oversee janitorial services.


General Responsibilities:

  1. Uphold the church's values in all interactions, ensuring a respectful and inclusive environment.
  2. Maintain confidentiality and exercise discretion.
  3. Communicate effectively and represent the church positively.
  4. Meet deadlines and prioritize tasks efficiently.
  5. Demonstrate flexibility in handling varied situations.
  6. Attend staff meetings and church events.
  7. Participate in professional development opportunities.
  8. Collaborate effectively with church staff, council, and volunteers.


Qualifications

  • Respect the Christian faith
  • High School Diploma; experience in office management and bookkeeping preferred
  • Proficiency in Microsoft Office and data entry
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Spanish fluency and cross-cultural experience desired.


Immediate Supervisor: Pastor

Final Amenability: Officers of Church Council


Working Conditions

  • Part-time position (20 hours per week), including Friday mornings and flexible hours as needed.
  • Professional office environment.
