First Lutheran Church is seeking a qualified and experienced office administrator.
Summary: The Office Administrator is the central hub for First Lutheran Church,
ensuring smooth operations, effective communication, and well-maintained facilities.
This role requires a detail-oriented individual with strong organizational and
interpersonal skills, capable of handling diverse responsibilities while upholding the
church's mission and values.
Essential Duties and Responsibilities
Financial Administration:
- Adhere to accounting procedures and collaborate with volunteer counters for weekly offerings and deposits, ensuring accurate data entry and reconciliation across systems.
- Process payments, maintain financial records, and reconcile accounts weekly, ensuring accuracy and completeness of documentation and database.
- Manage payroll, coordinating with the CPA for timely processing.
- Prepare monthly financial reports for the Finance Committee and organize financial documents for audits.
- Manage tax document preparation and distribution.
- Contribute to annual budget development and monitor adherence to ministry budgets.
- Submit required financial reports to the ELCA and Synod.
Office Management:
- Prepare and distribute weekly bulletins, children's handouts, and prayer lists.
- Manage Sunday flower arrangements.
- Maintain effective communication systems, including phone, email, and mail.
- Oversee the church's outdoor sign.
- Manage office supplies and inventory.
- Maintain membership records and publish the annual church directory.
- Ensure up-to-date calendars and maintain a comprehensive procedure manual.
Building and Property Management:
- Coordinate building usage with partners and maintain strong relationships.
- Manage building security.
- Manage room setups and the church's opening and closing procedures.
- Support property maintenance, coordinating with the Property Team and custodian.
- Maintain records for building, property, and equipment.
- Monitor parking lot usage and collect fees.
- Oversee janitorial services.
General Responsibilities:
- Uphold the church's values in all interactions, ensuring a respectful and inclusive environment.
- Maintain confidentiality and exercise discretion.
- Communicate effectively and represent the church positively.
- Meet deadlines and prioritize tasks efficiently.

Qualifications
- Respect the Christian faith
- High School Diploma; experience in office management and bookkeeping preferred
- Proficiency in Microsoft Office and data entry
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
- Spanish fluency and cross-cultural experience desired.
